Personal Aide to President & CEO

The Joseph Rainey Center for Public Policy seeks a dynamic, resourceful, thoughtful, and detail-oriented Personal Aide for the Founder and President of a growing non-profit.

The Personal Aide is a discreet, intuitive, resourceful, and thoughtful helper. This individual will provide in-person administrative and project coordination support to the President & CEO, including back-up executive scheduling, and accompanying the President for all travel and meetings. This position will provide excellent growth opportunities such as learning to write and edit correspondence, liaise with the funders, and handle wider development project management. The candidate must be a self-starter who anticipates needs and can easily adapt to demanding, fast-paced situations. The position requires a team player who takes pride in ensuring that a busy executive has the daily support she needs, who is comfortable in the role of an in-person assistant and with an appetite to learn development project management. This individual must live in the region of Salt Lake City, UT and be willing to possibly relocate to the Phoenix Metropolitan Area. Regular travel across the United States, and occasionally abroad, is also required. This individual must be flexible, poised, capable of handling stressful situations, and able to build positive relationships with external and internal stakeholders. Professionalism and a commitment to treating everyone with dignity and respect are essential.

Duties and Responsibilities

Personal Aide

Shadow the President & CEO daily, providing ongoing personal assistance;
Staff the President at most in-person meetings, events and conferences -- this position will require up 50% travel, both domestic and international;
Working with the Executive Assistant, manage travel and logistics for the President�s in-person and virtual meetings;
Help manage the President�s to-do list and regularly support the completion of tasks;
Collaborate and build relationships internally and externally, including communicating effectively with people at all levels of the organization;
Professionally interface with elected officials, donors, and occasionally, media, on the President�s behalf;
Effectively handle composing and preparing correspondence to key stakeholders with a high degree of professionalism and accuracy;
Attend Board and Board committee meetings;
Working with the Executive Assistant, create, compile, and archive briefing and meeting materials;
Create and edit internal and external presentations;
Ad hoc projects and requests as needed.
Backup Executive Assistant

Organize and regularly maintain a complex schedule and calendar for the President, providing advanced information of key events, including details and facts ahead of time;
Serve as gatekeeper to a busy executive who is a nationally recognized leader in climate policy and conservative politics;
Coordinate internal and external multi-participant meetings;
Organize, prioritize and handle emails and phone calls for the President, process incoming mail, e-mail, and phone calls and determine level of priority and follow-up;
Coordinate meetings of the Board of Directors and Advisory Board, including scheduling meetings and calls;
Development Coordinator (Growth Opportunity)

Maintain proficient knowledge of organization�s history and programs;
Assisting with the execution of development department's strategy;
Identify grant funding opportunities;
Write, submit, and manage grant proposals;
Create and furnish prospective funders with supporting documents;
Collaborate with CEO and others to send funders swag and newsletters;
Help compile an annual report;
Skills and Qualifications

Bachelor�s Degree with two to five years of relevant experience;
Basic understanding of grants funding policies, methods of application, and proposals;
Appetite to learn more about fundraising, donor relations, and grant management;
Excellent communication skills, both verbal and written;
Ability to track and meet deadlines;
Experience in state legislature, public policy, or campaigns is strongly preferred although not required;
Well-developed professional discretion and demonstrated ability to responsibly handle sensitive materials and communications;
Attention to detail with a focus on accuracy and thoroughness;
Solution-focused problem solving;
Ability to handle multiple projects simultaneously;
Flexibility and adaptability to changing needs and demands, including the ability to work irregular hours, as needed;
Demonstrated record of accountability and ownership of work;
Experience developing personal organization tactics to meet business goals;
Demonstrated experience managing multiple, competing priorities;
Ability to work remotely with support technology;
G-Suite, including Insightly, Microsoft Suite (Word, Excel), Zoom, Adobe Creative Cloud;
This is a full-time position located in the Salt Lake City region;
Able to pass a background check and drug trust;
