Appointment/Scheduling Coordinator

Job Responsibilities: The Appointment/Scheduling Coordinator is responsible for effectively managing both the Doctor and Hygiene schedules while meeting or exceeding daily production goals

• Utilize our pre-block schedule according to agreed-upon procedures and time allotments.
• Schedule new patients using our “VIP Intake” form and build value from the first phone call
• Educate patients about the value of their appointment times to minimize cancellations.
• Powerfully handle cancellation calls using our methodology practices
• Be mindful of when the practice is running late and/or early. Call patients with appointments to advise them. Let the clinical team know if a patient is running late.
• Keep track of patients who call to cancel, that fail to show, and those patients you were able to “save.” Ensure that all information is tracked in the Management Software System and run reports on progress made. Update the current day’s schedule and advise the team on the same.
• Maintain a shortlist of patients and proactively make calls to fill the schedule appropriately when openings/cancellations do occur.
• Ensure that the front desk is covered and the phone is promptly answered at all times, with our signature greeting “How may I brighten your smile”
• Responsible for calling, sending thank you letters, and gift cards to all who refer patients to the practice.
• Ensure that all patient records are current, up-to-date, and accurate.
• Maintain and organize the front desk and reception areas for cleanliness, etc.
• Complete office “End-of-Day” routines.

COVID-19 considerations: Our office follows infection control recommendations made by the ADA, CDC, and OSHA. We have installed hospital-grade air filtration; all team members have the appropriate PPE, we follow all state and county guidelines regarding covid precautions.
