Job Title: Administrative Assistant

We are seeking a dedicated and organized Administrative Assistant to join our team at Clear Guidance. As an Administrative Assistant, you will provide essential support to ensure the smooth operation of our office, assist with client coordination, and contribute to the overall efficiency of the office and care management services.

Key Responsibilities:

  • Office Administration: Handle general office duties, including answering phones, managing correspondence, and maintaining filing systems.
  • Clinical Director Scheduling: Schedule appointments, manage calendars, Zoom meetings, coordinating between clients, caregivers, and the clinical director.
  • Documentation and Record Keeping: Document precise and confidential client notes and update billing databases.
  • Billing accuracy checks: Review all billing entries for administrative and client to ensure professional and correct invoicing and payroll.
  • Communication: Serve as a point of contact for inquiries from clients, caregivers, and Care Managers, providing information and resolving issues promptly.
  • Event Planning: Organize and coordinate company events, training sessions, and company meetings.
  • Office Management: Ensure that the office is consistently clean and organized, placing orders and repair requests as needed.
  • Compliance: Verify that all administrative processes comply with company policies.

Qualifications:

  • Bachelor’s degree preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Compassionate and empathetic attitude toward clients and their families.

The position is a 32 hour position with potential to grow to 40 hours. Job tasks are, but not limited to: Answering the incoming calls to the office and making phone calls on behalf of employees and clients; Welcoming visitors to the office; Organizing files and sorting office mail; Managing calendars and schedules of administration staff; Set up for meetings and office events; Run errands on behalf of office. Must exhibit polite and professional communication via-phone, email and mail. Supports team by performing tasks related to the organization. Must demonstrate flexibility and ability to work well in team setting.

Job Type: Part-time

Pay: $16.00 - $19.00 per hour
