JOB DEFINITION:

Provide supervision to a team of residential staff providing housing and services to people with psychiatric disabilities. Responsible for the overall functioning of the program and ensuring compliance with agency policies and procedures as well as applicable local, state and federal regulations.

 

DUTIES AND RESPONSIBILITIES:

  1. Oversee and supervise all aspects of the assigned residential program(s) and assure that appropriate and necessary services are delivered.
  2. Ensure that all program guidelines, protocols, policies, procedures and regulations are followed.
  3. Participate in the recruitment, hiring, training and ongoing evaluation of residential staff under the supervision of the Program Manager and/or Assistant Director.
  4. Develop of a sense of team through training and ongoing supervision, support and evaluation of residential staff, including disciplinary actions, when needed. Provide ongoing structured weekly supervision to Full Time staff members and Monthly supervision to Part Time Staff members.
  5. Develop staff schedules and submit to the Program Manager by the 21st of the previous month, ensure adequate staff coverage for assigned program and update the staff schedule throughout the month, as needed.
  6. Ensure that residents receive restorative and/or rehabilitative and tenancy support services appropriate to their needs. Directly participate in the delivery and documentation of these services, when necessary.
  7. Review all Restorative Services weekly to ensure all appropriate services have been delivered and submit Medicaid Billing Reports on monthly basis as per program protocols.
  8. Oversee and participate in all Medicaid billable activities and ensure that all documentation is current and in compliance with regulatory guidelines. This includes timely and accurate submission of monthly Medicaid Billing Reports to the Billing Dpt.
  9. Oversee all medication monitoring procedures and assume any medication management related tasks and responsibilities in the absence of a Senior Counselor. Housing Supervisors are to review the medication logs/EMAR on a daily basis to ensure all procedures are being followed appropriately.
  10. Oversight of the sites to ensure a clean, safe and homelike environment. Ensure proper maintenance and upkeep of the site in collaboration with the facilities and management team.
  11. Ensure all residents are treated with dignity and respect and are given the opportunity to actively participate in their service and support plans in order to provide collaborative treatment panning.
  12. Organize and encourage respectful interactions between residents, conduct house meetings and offer supports and training as needed to residents in the program.
  13. Conduct intakes for potential residents in cooperation with the admissions committee.
  14. Review and approve all time off requests, time sheets and travel expenses for staff within 48 hours of submission.
  15. Oversee program finances, including weekly client distributions, petty cash, fee payments, check requests, food and supply budgeting and ensuring appropriate funding and benefits are in place for all residents.
  16. Oversight of recreational activities.
  17. Serve as a liaison with outside service providers and advocate for the needs of residents in the program, when necessary.
  18. Ensures that appropriate discharge planning activities occur for all residents.
  19. Responsible for routine oversight and monitoring of all client records to ensure that records are up to date and include all required documentation in compliance with applicable individual program regulations and policy manuals.
  20. Provide direction and support to staff during crisis situations. Serve as the On-Call Supervisor one week (wed-wed) after business hours and weekends on a rotating basis (approximately every 6-8 weeks) to answer any calls, text or Microsoft Teams messages in which staff and/or clients may need to report pertinent information, need assistance, handle a crisis situation or incident/accident in program within the Residential Dpt. Email "on-call report" emails daily during on-call week.
  21. Ensure that all incidents and accidents are reported within 24 hours in accordance with applicable regulations and complete and/or review documentation as needed.
  22. Participate in the Utilization Review process in conjunction with the QI Dpt and management team.
  23. Maintain and submit statistical, client and program data, as required, to Program Manager and Director.
  24. Assume the responsibilities and tasks of all staff roles in their absence. Directly complete, participate in or delegate such tasks and ensure all protocols and guidelines are being followed.
  25. Support the use of data in clinical supervision to inform decision-making
  26. Identify and implement quality improvement trainings and activities as part of professional development goals

  29. Health and Safety Awareness: Include any relevant knowledge or experience regarding health and safety protocols to ensure a safe work environment for all employees.
  30. Other duties as assigned.

 

EDUCATION AND EXPERIENCE:

  • Minimum of Associates Degree, Bachelor's degree preferred, in human services
  • Minimum of two years of experience in a residential program
