Position Overview: We are seeking an organized and detail-oriented Office Administrator to join our team. As the Office Administrator, you will play a pivotal role in ensuring the smooth functioning of our daily operations. Your responsibilities will encompass billing, invoicing, shipping coordination, collections, and general administrative tasks.
Responsibilities:
- Billing and Invoicing:
- Generate accurate invoices for completed orders.
- Verify pricing, discounts, and payment terms.
- Address any billing discrepancies promptly.
- Maintain records of invoices and payments.
- Shipping and Logistics:
- Coordinate shipments of doors and windows to customers.
- Work closely with logistics partners to ensure timely delivery.
- Track shipments and address any issues during transit.
- Collections:
- Monitor accounts receivable and follow up on outstanding payments.
- Communicate with clients regarding overdue invoices.
- Collaborate with the finance team to manage collections effectively.
- General Administrative Tasks:
- Answer phone calls, respond to emails.
- Maintain organized files and records.
- Assist with office supplies management.
- Handle other administrative duties as needed.
Qualifications:
- Experience: Minimum of 2 years in office administration or related field.
- Skills:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- Excellent communication and problem-solving abilities.
- Familiarity with inventory management software is a plus.
