We are looking for an exceptional Legal Secretary to assist us with the day-to-day functions of our well established, and busy law firm. You will be responsible for scheduling meetings and appointments, setting deadline reminders, maintaining case files and inputting data into our system, and providing general administrative and reception support in the office. You will work under the supervision of one or more attorneys and will also provide support in assigned legal cases. We also expect you to be familiar with formatting legal documents and other correspondence, such as engagement letters, motions, and master case captions lists, and be proficient with Microsoft Word, WordPerfect, Outlook, Essential Forms or similar, and Timeslips. Our ideal candidate is trustworthy, responsible, well-organized, and has previous administrative experience, preferably in a law office.

Legal Secretary Duties and Responsibilities

  • Provide administrative support to one or more attorneys
  • Effectively communicate with clients, colleagues and attorneys
  • Greet visitors and provide intake sheet for initial consultation
  • Answer phone calls, take notes/messages and redirect calls when appropriate
  • Maintain and update contact details
  • Schedule meetings and appointments and maintain a detailed calendar
  • Maintain and organize files including copies of all documents and correspondence; update files with case status and information; provide timely reminders for deadlines
  • Send and respond to emails
  • Handle incoming and outgoing mail
  • File various legal documents such as motions, petitions and appeals

Legal Secretary Requirements and Qualifications

  • Experience as a legal secretary
  • Familiarity with legal procedures
  • Computer knowledge, including word-processing programs, court-filing systems, and transcription software
  • Strong communication skills, verbal and written; proficiency in English
  • Excellent time-management and typing skills
  • Ability to multi-task
  • High school diploma or equivalent
  • Computer literate in Microsoft Office and legal software
