File Clerk/Project Assistant

A boutique civil litigation and appellate law firm in West Palm Beach is currently seeking a full-time File Clerk/Project Assistant to provide essential support to the firm’s founding partners and senior paralegal. This position is an excellent opportunity for someone early in his/her career who is looking for long-term stability in a support role. The position is not intended for candidates seeking a paralegal position. 

We are looking for a detail-oriented, fast learner with strong communication skills who can quickly adapt to our systems and contribute to a fast-paced legal environment. The ideal candidate is comfortable with written communication, including correct grammar, punctuation, and basic writing mechanics, and understands the importance of professionalism and confidentiality in a legal office.

The duties for this position include: 

  • Maintaining and organizing the firm’s paperless filing system using PerfectLaw software, by profiling emails, pleadings, transcripts and other case-related documents
  • Retrieving and downloading documents from online sources such as court websites, PACER, SunBiz and Westlaw
  • Filing pleadings and other documents through the Florida Courts E-Filing Portal
  • Preparing deposition notices and arranging court reporters and videographers
  • Assisting with judge submissions
  • Preparing and assembling electronic and physical notebooks and exhibit files
  • Handling mailings, couriers and overnight deliveries
  • Assisting with trial, hearing and deposition preparations
  • Preparing new matter forms and performing conflict checks
  • Sharing reception phone duties
  • Monitoring and ordering office supplies
  • Providing other general administrative and clerical support as needed  

The skills required for this position include:

  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Working knowledge of grammar, punctuation and standard writing conventions
  • Quick learner with the ability to adapt to new software, procedures and priorities
  • Excellent typing and computer proficiency, including Microsoft Office 365
  • Prior clerical or office experience required
  • Legal experience is a plus, but not required
  • Note: This position may not be suitable for candidates with advanced legal training or those seeking paralegal-level responsibilities

Schedule & Compensation: 

  • 40-hours per week, Monday-Friday, 8:30 a.m. – 5:00 p.m. 
  • Highly competitive salary, commensurate with experience
