Description
This position provides essential administrative support to both the Finance and Human Resources departments. Responsibilities include processing accounts payable, assisting with payroll, and supporting various HR functions. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Requirements
Essential Duties and Responsibilities:
Reports To: Human Resources Manager/Director & Controller
Payroll Processing:
- Process bi-weekly payroll for all employees, including calculating and entering hours worked, processing deductions and taxes, and issuing paychecks or direct deposits.
- Payroll Based Journal Reporting
- Generating Census & Exclusion Reports
- Maintain accurate employee time and attendance records.
- Respond to employee inquiries regarding payroll issues, such as missing paychecks or incorrect deductions.
- Ensure compliance with all federal, state, and local payroll laws and regulations.
Employee Records Management:
- Assist with maintaining accurate employee files, including personnel records, forms, and other relevant documentation.
- Update employee information in the Payroll/HRIS system.
- Assist with the administration of employee benefits programs, including health insurance, retirement plans, and life insurance.
- Insurance Benefit Reconciliations
- Excel spreadsheet tracking of various departments
General Administrative Support:
- Answer phones and direct calls to the appropriate personnel.
- Answer employee with payroll related inquiries
Accounts Payable:
- Process invoices, including verifying accuracy, coding expenses to the correct general ledger accounts, and obtaining necessary approvals.
- Maintain vendor files and ensure accurate vendor information.
- Prepare and process vendor payments, including checks and electronic transfers.
- Reconcile vendor statements and resolve any discrepancies.
- Assist with month-end and year-end closing procedures.
Qualifications:
- High school diploma or equivalent required; Associate's degree in related field preferred.
- 1-2 years of experience in Payroll & Accounts Payable preferred.
- Experience with payroll processing software (e.g., Paylocity).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Intermediate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality.
- Experience working in a healthcare setting preferred.
Physical Demands:
- Ability to sit for extended periods of time.
- Ability to use a computer and keyboard for extended periods of time.
- Ability to lift and carry light boxes of files.

Salary Description
$23/hr to $25/hr depending on experience
