Job Title: Part-Time Event Coordinator
Location: Remote (Texas applicants only, Houston area preferred)
Job Type: Part-Time, up to 20 hours per week

As part of our team, you’ll play a key role in bringing events to life, managing everything from planning to execution, and collaborating closely with vendors to ensure seamless events for our clients.
Key Responsibilities:
Event Management
- Oversee and manage the planning and execution of corporate events with up to 200 attendees, ensuring all aspects run smoothly from start to finish.
- Handle Cvent registration management (base-level experience required) for corporate events and meetings.
- Coordinate and manage supplier and vendor contracts, negotiations, and day-to-day communications and relationships.
- Work with internal and external stakeholders to ensure client expectations are met.
- Conduct research on venues, vendors, and new event tools or technology to recommend improvements and efficiencies.
- Provide on-site event management and coordination as needed, including occasional travel for site inspections.
Event Administrative and Project Management Support
- Build and maintain event project plans in ClickUp for all upcoming events, tracking milestones and deadlines.
- Create customized event planning dashboards for each event to ensure streamlined project management.
- Develop, update, and organize standard documents, templates, and resources for easy access and consistency.
- Schedule and track client and vendor check-ins, confirming arrangements and following up on pending items.
- Assist with budget tracking for each event, monitoring expenses and coordinating vendor payments.
Essential Qualifications:
- Bachelor’s Degree (earned or in progress), preferably in Event Management, Hospitality, Marketing, Business Administration, or a related field.
- Proven event experience with a minimum of 2 years in event planning, including full-service event management, logistics, and supplier coordination.
- Proficiency in Cvent, ClickUp, and Google Suite.
- Strong background in professional client communication, ideally with experience in balancing multiple clients or vendors
- Experience working remotely or with a dispersed team and maintaining communication in a virtual environment.
- Strong attention to detail and proven problem-solving abilities, especially under tight deadlines and during live events.
- Must be based in Texas and legally authorized to work in the US.
Desirable Qualifications:
- Cvent Certified is a plus
- CMP (Certified Meeting Professional), CSEP (Certified Special Events Professional), or a similar professional designation is a plus
