The Greater Phoenix Chamber is seeking a highly organized and detail-orientated intern to join our team. This individual will play a crucial role in managing attendee registrations, creating event support materials, drafting event-related content, and providing database support for the Events and Programs team. In addition, this individual will assist other departments as needed.
This will be a paid internship ($15/hr), working an anticipated 25-30 hours per week. The internship will be a hybrid-style opportunity with both in-person and work from home duties. The intern should be available to be in-office (Camelback and 24th St.) on Wednesdays, as well as available in-person for events and programs (schedule changes monthly). The Chamber will work with you to balance any classes the intern may be enrolled in, and/or this internship may be utilized for college credit, based on the eligibility with the intern’s academic institution.
Responsibilities Events and Programs
• Assist in managing event attendee registration for the Chamber’s signature and professional development events, including the processing of billing and payments, and managing attendance and event information internally.
• Creates event support materials, including drafting reminder emails, nametags, table tents, registration lists, mass email drafts, PowerPoints, post-event surveys, and other documents essential to event logistics.
• Draft social media posts and other event-related content items to promote upcoming events.
• Draft emails or surveys for signature events and programs, future sponsor emails for events, reminders, follow-up emails etc.
• Send out past attendee outreach emails for programs and signature events.
• Attends and provides on-site support during events and receptions to manage registration and other on-site logistics. Assists with check-in team training the day of events
• Assists team in editing Marketing Request Forms (MRF) for the team and updates with sponsors, dates, etc.
• Assist with inputting sponsor benefits into the tracking sheet
• Creates sponsor recap packages
• Assists in creating sponsor benefit templates
Database Support:
• Maintain ChamberMaster database with assistance from the Events Manager and Program Coordinator which includes:
• Maintaining and managing committee rosters and activities in ChamberMaster.
• Assisting with processing attendee cancellations as well as processing new ones.
• Following up with invoicing for various events for programs and signature events
Business Development Support: As time permits, the intern may be asked to support the Chamber’s business development team:
• Assists the Business Development Executives in researching prospective member
companies and building prospect profiles
• Database entry of leads and prospects
REQUIREMENTS:
• Applicants must be current students for a Bachelor’s degree at one of Arizona’s
participating universities and have a cumulative GPA of 3.0 or higher at the time of
application. Studying in the fields of business, marketing, event management, nonprofit
studies, or related field preferred.
• Strong proficiency with Microsoft Office Suite required
• Ability to learn and navigate database software and procedures
• Outstanding writing, editing, proofreading, grammar, spelling and punctuation skills.
• Excellent time management, organization, and prioritization skills. Must be able to
balance multiple projects and deadlines.
• Flexibility to occasionally work outside of a normal work schedule (8 a.m. – 5 p.m.) to include early mornings and/or late evenings as events may require.
