About this role:
We are seeking a detail-oriented and organized individual to grow with our team. You will play two crucial roles: ensuring the smooth operation of our office by providing support to various departments and working with the Museum team to implement development. The ideal candidate will be proactive, resourceful, and capable of multitasking effectively.
How You’ll Make a Difference:
- Manage Office Operations: Maintain office supplies inventory, order supplies, and ensure office equipment is in working order. Assist with facilities management, including coordinating repairs and maintenance.
- Development Support Responsibilities: Provide administrative support to the fundraising team, including managing calendars, scheduling meetings, and organizing documents and files.
- Calendar Management: Schedule appointments, meetings, and conference calls for executives and team members.
- Correspondence Handling: Manage incoming and outgoing mail, emails, and phone calls. Respond to inquiries and redirect communications to appropriate staff members.
- Document Preparation: Prepare and format documents, reports, presentations, and other materials using Microsoft Office Suite (Word, Excel, PowerPoint). Proofread and edit documents for accuracy and clarity.
- Travel Arrangements: Assist with travel planning and coordination for staff members, including booking flights, hotels, transportation, and preparing travel itineraries.
- Meeting Support: Attend meetings as needed, take meeting minutes, and distribute minutes and action items to participants. Assist with meeting setup, including arranging catering and preparing meeting materials.
- Administrative Support: Provide general administrative support to team members, including photocopying, scanning, filing, and other administrative tasks.
- Confidentiality: Maintain confidentiality of sensitive information and adhere to company policies and procedures regarding data security and privacy.
What You Should Bring to the Table:
- Associates or bachelor’s degree preferred.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize tasks and manage time effectively.
- Professional demeanor and customer service orientation.
- Ability to work independently and collaboratively in a team environment.
- Flexibility to adapt to changing priorities and deadlines.
- Discretion and ability to handle confidential information with sensitivity.

Benefits:
$40,000 to $45,000
35 hours a week with flexible hours
Dupont Circle Office with FREE parking
Telework one day a week after 90 days
