We are seeking an organized and proactive Administrative Assistant to join our boutique wealth management firm. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to work independently and as part of a team.

Essential Duties and Responsibilities:

  • Welcome and greet clients
  • Coordination of events and webinars
  • Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages
  • Monitor and maintain office equipment and supplies, keep the office clean and organized at all times
  • Manage the Wealth Advisor's calendar and schedule appointments and meetings.
  • Assist in account opening and transfers
  • Prepare and process documents, including letters, reports, and presentations.
  • Maintain files and records in a neat and organized manner.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • 1-2 years of experience in a similar role in a financial services or other professional setting.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite a must (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.
