Responsibilities

The Ivy Brain Tumor Center at the Barrow Neurological Institute is a nonprofit translational science initiative established by a $50 million investment from the Ben & Catherine Ivy Foundation in partnership with the Barrow Neurological Foundation. This represents the largest single research grant in the history of brain tumor research worldwide. Our research program is singularly focused on discovering new therapies for brain tumor patients through a broad portfolio of pharmacodynamic- and pharmacokinetic-driven clinical trials combining industry-partnered drug development with the nation’s largest operative brain tumor volume.

The Ivy Brain Tumor Center offers state-of-the-art clinical trials for patients with the most aggressive form of brain cancer. It is home to the largest collection of Phase 0 trials for brain tumors in the world. Our multidisciplinary team of brain tumor specialists and scientists are accelerating drug discovery and precision medicine in neuro-oncology to identify the most promising first-in-class therapies for brain tumor patients.

We are seeking an Executive Assistant to support the Director of the Ivy Brain Tumor Center.

Responsibilities:
Maintaining the Director’s calendar and coordinating the academic schedule with clinical/surgical schedules.
Organizing travel arrangements and meeting registrations.
Coordinating a wide range of meetings such as laboratory meetings clinical trial meetings progress consortium meetings and scientific advisory committee meetings.
Preparing correspondence curriculum vitae bio-sketches grant documents manuscripts agendas reports and other presentation and publication materials as required.
Coordinating with clinical and research personnel from Barrow Neurological Institute as well as ASU TGen UACC and other institutions.
Managing activities related to invited lectureships/professorships.
Coordinating the interview process for Ivy Center faculty and laboratory postdoctoral fellows/graduate students/technicians including assembly of applications and evaluations scheduling of interviews and travel arrangements.
Tracking clinic and laboratory related business expenses. Processes reimbursement submissions.
Conducting basic science/clinical literature searches and assembles references.
Providing routine office support.
This individual assists with special projects and other duties as assigned. Requirements:
Proven experience as an executive/academic assistant or other relevant administrative support experience.
Advanced Microsoft Office skills with an ability to become familiar with institute-specific programs and software.
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communication skills.

Qualifications

Requirements

Five (5) years related administrative or executive support experience
Experience with MS Office and Google Workspace required.
High School Diploma/GED.
Associates Degree preferred
