The administrative assistant functions as an integral part of mental health clinicians’ outpatient practices by providing admin and billing support. Eagleview Collab is focused on creating a positive work environment that honors work-life balance and produces career advancement opportunities for our business team. We assist dozens of independent mental health clinicians start and operate successful practices. Through our admin support services, we aim to amplify access to mental healthcare in Washington State.
BENEFITS: $18-25/hr - Flexible Schedule - Paid Time Off - Health Insurance (Premera - $250 deductible)
RESPONSIBILITIES:
- Relationship-building with our business team, clinicians and their clients
- Assisting mental health clinicians with the digital onboarding of their new client intakes
- Verifying insurance benefits and providing cost-share estimates to practice clients
- Navigating websites/systems to identify information and input thorough data entry
- Scheduling new practice clients based on clinicians’ calendar availability
- Answering incoming phone calls from clinicians, their clients, and insurance companies
- Billing insurance claims and practice client invoicing on a weekly basis
- Applying insurance/client payments with accurate posting
- Generating reporting in systems to analyze or present data
- Making phone calls to insurance companies to resolve denied claims
- Responding and processing emails from clinicians
- Meeting with clinicians on a regular basis to maintain current status of their practice agenda
- Tracking and fulfilling action items required to progress task checklists or projects
- Optimizing clinician practice management systems through electronic enrollments
- Establishing insurance contracts and maintaining clinicians’ demographic data for directories
- Assisting new clinicians in the onboarding process with Eagleview Collab
- Operating with competency to work independently
- Managing assigned accounts with high-quality support services
- Colloborating with our business team with productivity, motivation and focus
- Willing to complete other related duties as requested
REQUIRED QUALIFICATIONS:
- Adhering to HIPAA confidentiality requirements and ethics in the handling of personal health information and business information of clinicians’ practices
- Basic understanding of medical insurance billing procedures
- Strong record-keeping and note-taking habits
- Adept at identifying priorities, allocating time to complete tasks, and coordinating details
- Able to cross-reference information for documentation, problem-solving, and critical thinking
- Clear written and verbal communication; active listening
- Learn and apply templated workflows and best practices in daily operations
- Demonstrate initiative to try and provide resolution to presenting challenges
- Navigate multiple software systems (Windows OS, inboxes, task management, practice management, file directories, etc)
- Proficient in Microsoft Office Suite, specifically Word & Excel.
- Basic technical troubleshooting and data entry (60 wpm)
- Reconciling basic financial data
- Participation in professional continuing education
- Receptive to constructive feedback and able to adapt to change
Preferred Qualifications:
- Bookkeeping experience
- Work experience with insurance billing for mental health professionals
- Experience with SimplePractice
- Ability to express process improvements in a written and verbal manner
- Interest in project management techniques
EDUCATION & EXPERIENCE:
- Associates degree required.
- One to three years of experience in an admin or billing role.
PHYSICAL REQUIREMENTS:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Able to travel on-site to clinician offices for meetings on occasion.
- Work on-site during training phase, may be given hybrid remote options based on productivity
Job Types: Full-time, Part-time
Salary: $34,560.00 - $52,000.00 per year
