Guttman Law, PLLC is an Edina-based Wills and Trust law firm. We are professional, customer-centric and fast-paced.
Ideal candidate will be comfortable handling incoming calls, greeting incoming clients, and will present a professional and courteous first impression to all callers and visitors. This position is responsible for handling the scheduling of all appointments and the calendaring all deadlines. Mature demeanor and excellent work ethic are a must for our professional business environment.
The position demands a professional appearance. The person in this position greets all clients and other visitors who arrive for meetings. Excellent customer service skills are required. This position is a key element to our client relations as well as effectively assisting the attorney and the rest of the team.
Responsibilities: General receptionist and administrative responsibilities to include but not limited to:
Oversee administrative issues of the firm.
Maintain and oversee all client files.
Answer phones, screen calls and take detailed messages.
Vet potential new clients.
Assist with new client intake.
Maintain office calendar.
Draft, prepare and assemble estate planning documents.
Maintain vendor accounts.
Manage office supplies and equipment.
Monitor of client billing accounts, including collections.
Assist with processing client payments and billing by reviewing, scanning/emailing bills and collecting payments.
Assist with general case management and administrative responsibilities.
Other assigned duties.
Requirements:
A four year college degree.
Relevant legal or office administrative experience required.
High attention to detail and accuracy of work with excellent verbal and written communication skills
Must be proficient technically with Microsoft Word, Outlook, and Excel.
Must be organized, reliable, committed, effective communicator, adaptable, proactive, positive approach to challenges and perform with sense of urgency.
Must be able to work with minimal supervision but also a team player.
Demonstrated ability to be motivated, work professionally and confidentially.
Organized, ability to multi-task and work in a fast-paced environment.
Independent, action-oriented thinker who will successfully undertake and complete projects and tasks with limited supervision.
Trainable, ability to learn quickly and retain a high level of legal knowledge.
Starts immediately.
